Searching the catalogue

There are two main ways to search the catalogue, simple and advanced searching.

Simple search - is accessed via the “Google-style” box in the top right-hand corner.
This option will search only the title and description fields

Advanced search- found on the menu bar at the top of this page enables you to perform “Any text Field” searches, and also to search specifically in certain fields

  • Any Text – any combination of text can be entered here
  • Reference Number – enter full archive collection reference e.g for Bell Brothers enter BS.BB
  • Title – enter title of item here to search title field only
  • Description – enter text here to search item description only
  • Date – limit you search to a particular year or period

Note: It is possible to use 'Boolean' searching, find more details on this method here

How to use the search results

The results of your search will be presented to you in four columns formed into a 'hitlist'. This hitlist consists of;

  • Ref No (you will need to order a document)
  • Title
  • Date
  • Description

To view more detailed information on any item in this 'hitlist' click on the Ref No. This takes you to the catalogue entry.

From the catalogue entry, click on the Ref No again to see the record in its hierarchical context (i.e. how it relates to other records in the collection) and to see other records in the same catalogue.

The total number of catalogue records retrieved will be displayed above the hitlist; if your search has retrieved more than 10 records, use the Next, Previous, Start and End links at the top of the screen to view all the records in your hitlist.

Sorting the records in the 'search results' hitlist

By default, records in a hitlist are presented in Ref No order. However, you can also sort the records by Title or by Date by clicking on the appropriate column heading above the displayed records.
